GritMate respects your privacy. This policy explains how information is collected, used, stored and protected when you use the GritMate app, website and related services.
This policy is written to apply to individual users as well as workplace and EAP deployments, and is aligned with Australian privacy requirements, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Scope
This Privacy Policy applies to:
• Individual users accessing GritMate directly
• Users accessing GritMate through an employer, organisation or EAP arrangement
Where GritMate is provided via an employer or EAP, additional contractual privacy obligations may apply. These do not override the protections outlined here.
What we collect
We collect only information that is reasonably necessary to operate and improve the service.
Information you provide
• Account details such as email address and basic profile information
• Content and activity you choose to enter or record within GritMate, including Catches, MUTTs, DOGGOs, MUTT Checks, Track activity and progress, GRIT Gauge information, K9 Check-ins, reflections and responses
• Messages you choose to send through Blue Chat
• Support or contact messages you send to us
Information collected automatically
• Device and usage information such as app version, device type and interaction data
• Log data including timestamps and feature usage, used for performance, reliability and security
• GritMate activity information such as Track progress and streak information generated through your use of the app
We do not collect unnecessary personal information.
Sensitive information
GritMate may involve the entry of personal reflections, wellbeing-related information and other information that may be personal or sensitive.
We do not use this information to assess individuals, make employment decisions or profile users for advertising purposes. Where aggregated insights are generated, they are de-identified and cannot be traced back to individuals.
How we use information
Information is used to:
• Provide and operate the GritMate service
• Provide personalised GritMate features
• Generate Blue Chat responses where you have consented to use Blue Chat
• Generate personalised Blue’s Notes where you have consented to use Blue’s Notes
• Maintain functionality, security and performance
• Improve features and usability
• Respond to support or contact requests
• Meet legal and regulatory obligations
We do not sell personal information and do not use it for advertising purposes.
Workplace and EAP privacy protections
Where GritMate is accessed through an employer or EAP:
• Employers do not have access to individual user content
• Individual entries, responses and activity are not visible to organisations
• Any reporting provided to organisations is aggregated and de-identified
GritMate is designed to protect individual privacy while supporting organisational wellbeing initiatives.
Data sharing
We share information only with service providers where necessary to operate specific GritMate functionality, such as hosting, security, analytics, email delivery and artificial intelligence services.
Where personal information is shared with a third-party service provider, it is limited to information required to provide the relevant service.
Information may also be disclosed where required or authorised by law.
AI services
GritMate uses OpenAI, a third-party artificial intelligence service, to provide certain optional AI-powered features.
Blue Chat
When you choose to use Blue Chat, messages you send to Blue, including any personal information you include in those messages, are securely transmitted to OpenAI to generate Blue’s responses.
If you use voice input, your device converts your speech to text before it is sent to OpenAI. The resulting text is processed in the same way as a typed message.
Before information is sent to OpenAI through Blue Chat, GritMate explains this data sharing and asks for your explicit consent. You may choose Not Now and continue using GritMate without Blue Chat.
Blue’s Notes
Blue’s Notes uses OpenAI to generate personalised summaries based on relevant activity within your GritMate Yard.
Information that may be securely transmitted to OpenAI for this purpose includes:
• Catches
• MUTTs and DOGGOs
• MUTT Check usage
• Track activity and progress, including your current Track
• GRIT Gauge information
• Streak information
• K9 Check-in information
• Relevant changes in this activity over time
Before any of this information is sent to OpenAI to generate Blue’s Notes, GritMate explains the data sharing and asks for your explicit consent.
If you do not consent, your GritMate information is not sent to OpenAI for Blue’s Notes and you can continue using the rest of GritMate. Blue Chat and Blue’s Notes have separate consent controls.
How OpenAI is used
Information sent to OpenAI is used to generate the Blue Chat response or Blue’s Notes content requested by the relevant GritMate feature.
GritMate does not send information to OpenAI through these features unless the user has provided the required consent.
Data storage and security
Information is stored using reputable cloud infrastructure with appropriate technical and organisational safeguards.
We take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification or disclosure.
No system is completely secure, but we actively monitor and manage risk.
Data retention
Information is retained only for as long as necessary to provide the service or meet legal obligations.
You may request deletion of your account and associated personal information at any time, subject to applicable laws and contractual requirements.
Access and correction
You may request access to personal information we hold about you and request corrections if it is inaccurate or out of date.
Requests can be made through the Support section of the app.
Overseas disclosure
Some service providers, including providers supporting GritMate's technology and AI functionality, may process information outside Australia.
Where this occurs, reasonable steps are taken to ensure personal information is handled in accordance with applicable Australian privacy obligations.
Children
GritMate is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children.
Changes to this policy
This Privacy Policy may be updated from time to time. The current version will always be available within the app and on the website.
